Horticulture New Zealand (HortNZ) represents the interests of New Zealand’s 6,000 commercial fruit and vegetable growers. It has 22 affiliated product groups and over 30 affiliated local and regional grower associations. HortNZ is an incorporated society and has about 28 staff based in its central Wellington office with some regional representatives too.

HortNZ is responsible for working on key horticulture industry wide issues including Adverse Events, Biosecurity, Education & training, Food Safety, Government Policy, Industry Strategy, People Capability, Regulation and Resource Management Act. Primary Objective

The Administration Assistant will be a crucial role in the Horticulture New Zealand office. This role will provide administration support across the office including back up support to the Senior Administrator; overflow work for the Finance Manager; helping the product groups as well as reception duties. The Administration Assistant will be one of a number of support staff in the office who also back-up each other as needed.

The primary objectives of this role will be to:

  • Provide effective, efficient and timely administrative support across the office.
  • Have an excellent working relationship with staff and grower members and external stakeholders; and
  • Display a strong customer service ethos.

Key Responsibilities

  • Provide administration and secretarial support to Women in Hort and administrative assistance to the other product groups based at HortNZ as required.
  • Coordinate meetings, including booking venues and catering, preparing and circulating agendas and papers for board meetings and taking minutes where required. Some travel may be required.
  • Coordinate and make travel arrangements for staff and ensure staff have all relevant information. You will need to maintain records of this travel and code the resulting invoices from Finance.
  • Assist with overflow work from the Finance Manager as required.
  • Work as part of the Admin team on tasks being coordinated by the Senior Administrator.
  • Provide back up support for the Events Manager for Horticulture New Zealand events.
  • Support the People Capability Manager on an ad-hoc basis.
  • Assist with mail outs to growers.
  • Relief reception cover.
  • Assist with scanning existing documents to move HortNZ to a paperless environment.

  • Proficiency in the Microsoft Office Suite.
  • Strong verbal and written communication skills, including the ability to write clear and accurate minutes, correspondence etc.
  • Be well organised, systematic, thorough and have an ability to prioritise work to meet deadlines.
  • A high level of accuracy and the ability to maintain efficient Administration procedures, with a focus on continual improvement.
  • Display a strong customer service ethos.
  • Ability to work calmly under some pressure.
